People Operations Coordinator
Contract until December 31st, 2026 with possibility of extension
Location: Remote - Victoria & Vancouver, BC (if extended past December 31st, expectation will be a hybrid work schedule 3 days in office, 2 days remote)
Retainer Band: $5,500–$6,000 CAD per month
About the Role
We are looking for an experienced People Operations Coordinator to join our growing team and help deliver an exceptional employee experience while supporting the day-to-day operations of our People function.
Reporting to the Director of Business Operations, this role will serve as a trusted partner across the organization, supporting recruitment, onboarding, employee lifecycle administration, payroll coordination, benefits, HR compliance, and people programs. You'll help ensure our People operations run smoothly while identifying opportunities to improve processes and build scalable systems as we continue to grow.
This is an ideal opportunity for someone with strong HR operational experience who enjoys balancing detail-oriented execution with building thoughtful employee experiences.
What You'll Do
Employee Experience

Coordinate onboarding and offboarding for all employees across Canada and the United States.

Prepare employment agreements, compensation letters, promotions, organizational changes, and other employee documentation.

Manage the full employee lifecycle within the HRIS, ensuring employee records remain accurate, complete, and compliant.

Act as a first point of contact for employee questions related to policies, benefits, payroll, and HR processes.

Coordinate employee engagement initiatives, recognition programs, team events, and internal communications.
Recruitment & Talent

Support with recruitment across multiple departments, including interview scheduling, candidate communications, and offer administration.

Partner with hiring managers to ensure a seamless candidate experience.

Support new hire onboarding plans and facilitate orientation sessions.

Assist with workforce planning and recruitment reporting.
HR Operations

Maintain HR systems, documentation, and reporting.

Ensure employee records, organizational charts, and internal documentation remain current.

Support performance review cycles, compensation changes, promotions, and employee development initiatives.

Assist with policy updates and continuous improvement of People processes.

Create documentation and SOPs that improve efficiency and consistency across the organization.
Payroll & Benefits

Coordinate payroll inputs and employee changes for Canadian and US payroll.

Administer benefits enrollment, changes, and employee inquiries.

Partner with payroll and benefit providers to ensure timely and accurate processing.

Support year-end payroll activities and audits.
Compliance

Ensure compliance with provincial, federal, and state employment legislation where applicable.

Maintain confidentiality of employee information and documentation.

Support health and safety initiatives, compliance reporting, and internal audits.

Assist with employment standards, leave administration, and HR best practices.
What We're Looking For

3–5+ years of experience in Human Resources, People Operations, or HR Coordination.

Post-secondary education in Human Resources, Business, or a related field.

CPHR designation (or working toward one) is considered an asset.

Strong understanding of Canadian employment standards; US HR experience is an asset.

Experience supporting payroll and employee benefits administration.

Experience using HRIS platforms (Rippling experience is considered an asset).

Excellent organizational skills with exceptional attention to detail.

Strong written and verbal communication skills.

Ability to manage multiple priorities and meet deadlines in a fast-paced environment.

High level of discretion and professionalism when handling confidential information.

Advanced proficiency in Google Workspace and Microsoft Office.
