Raw Materials Planning and Production Coordinator
Location: Left On Friday - Victoria
Reports To: Commercialization Manager
Full-time (Monday to Friday) Hybrid - 3 days in office, 2 days remote
Salary Range: $55,000 - 75,000 CAD
Role Overview:
The Raw Materials Planning and Production Coordinator plays a crucial role in ensuring the timely and efficient planning, allocation and procurement of fabrics, trims and packaging materials to support apparel production. This role requires close collaboration with both onshore and offshore vendors, raw material suppliers, and internal teams including merchandising, design, product development and production to optimize material flow and inventory levels.
Key Responsibilities:

Develop and maintain raw material forecasts and allocation plans based on production schedules, sales projections, consumption and inventory levels.

Place and track purchase orders for fabrics and trims, ensuring timely delivery to support manufacturing needs.

Collaborate with suppliers and mills to manage lead times, resolve shortages, and mitigate any potential supply chain disruptions.

Monitor inventory levels, assess consumption trends, and optimize stock replenishment strategies to prevent excess or insufficient materials.

Work closely with design and merchandising teams to align material selections with seasonal launches and production calendars.

Partner with onshore and offshore apparel manufacturers to ensure the right materials are delivered to the right factories at the right time.

Manage packaging inventory and orders for distribution centers (DCs), ensuring the right materials are available to support order fulfillment and minimize shortages or excess stock.

Maintain detailed and accurate records of raw material specifications, including Fabric Detail Sheets (FDS), in Centric PLM, ensuring all data is up to date and accessible for cross-functional teams.

Create, track and manage all raw material purchase orders (POs). Record them in the ‘On Order’ tracker, ensuring accurate documentation of order details, supplier communications, and delivery timelines to support production planning.

Monitor and maintain raw material inventory records in the ‘On Hand’ inventory and ‘Fabric On Order trackers, reconciling supplier shipments with internal stock levels to ensure accuracy and prevent shortages or overages.

Collect and file all fabric order forms from vendors to ensure accurate tracking and documentation of raw material purchases.

Review and Approve/reject all bulk fabric submits from mills. Communicate approvals to mills for release of bulk.

Maintain and organize all bulk fabric submits for reference by mills, ensuring easy access for quality control and production teams.

Support sustainability initiatives by minimizing excess inventory, working with vendors to generate creative ideas to utilize leftover and obsolete materials, ordering within supplier lead times and consolidating orders where possible to take advantage of the most efficient shipping methods.
Qualifications & Skills:

Bachelor’s degree in Supply Chain Management, Business, Textiles, or a related field.

3+ years of experience in raw materials planning, fabric sourcing, packaging procurement, or supply chain management within the apparel industry.

Strong analytical skills with experience in building and analysing data in Excel and/or Google Sheets.

Excellent communication and negotiation skills to manage vendor relationships effectively.

Detail-oriented with strong problem-solving abilities and a proactive approach to supply chain challenges.

Knowledge of textile properties, fabric testing, and industry compliance standards is a plus.
